How to Complete Major Gift Contact Reports in Under Two Minutes Using AI

If you’re a major gift fundraiser, you know one of the most annoying parts of the job: entering contact reports after donor visits.

It’s a task that always seems to get pushed aside. You get back from meetings, jump on calls, answer emails, and before you know it, a few days have passed and the contact reports still aren’t done.

The problem with delaying them is obvious. When you wait too long, you forget important details that should be captured in your CRM.

I’ve started using a simple system that allows me to complete contact reports in under two minutes, and more importantly, do them immediately after the meeting while everything is still fresh.

Here’s how it works.

Step 1: Record a 30 – 60 Second Voice Memo

Right after leaving the donor meeting, record a quick voice memo using a transcription app like Otter.ai.

Otter has a free version that works perfectly for this.

You can do this in 30 seconds sitting in your car after the meeting.

When speaking, use a simple structure:

WHO / WHAT / INTEREST / NEXT STEP

Example voice note:

“Just met with John and Lisa Smith at their office in Austin. Good conversation about the new cybersecurity building. John seemed especially interested in student internships. They asked a lot of questions about industry partnerships. I think the capacity is around $100k–$250k. Next step is to send the project overview and set up a call with the dean. They also mentioned their daughter is looking at colleges.”

Once Otter finishes the transcription, copy the summary. In the app, click the three dots in the upper right corner and select “Copy Summary.”

Step 2: Let AI Turn It Into a Contact Report

Next, go to your preferred AI tool such as:

  • ChatGPT
  • Claude
  • Gemini

Paste your transcript under the following prompt:

Step 3: Paste It Into Your CRM

Finally, copy the AI-generated contact report and paste it into your CRM system. That’s it. The entire process takes less than two minutes.
